Business Development Coordinator

Job Description 

The Business Development Coordinator is responsible for assisting with and coordinating business development initiatives, activities and goals as directed by the Vice President, Director of Business Development. Ongoing responsibilities include continuous customer relationship management (CRM) database management, trade show and travel facilitation, marketing campaign coordination, presentation design and development, speaking engagement support, case study development and proposal coordination.

Experience 

Essential Duties and Responsibilities 
• Act as CRM expert in HubSpot and maintain all database information 
• Update daily and export data for trade shows and sales/marketing outreach lists
• Seek new ways to enhance our processes and advanced learning opportunities
• Create contact sheets, floor plans and prospect materials for trade shows
• Create follow-up emails for prospect communications
• Manage travel and calendars and submit expenses 
• Manage the agency’s integrated, multichannel marketing efforts
• Research, develop and maintain prospect lists classified by market and audiences
• Create PURLs (personal URLs) in the content management system (CMS) and manage its process 
• Support new and ongoing relationships with agency partners
• Create and design prospect-facing presentations using both PowerPoint and Keynote
• Collaborate with team members to generate presentation content and related needs
• Lead submission development for speaking engagement opportunities
• Develop submissions for select agency recognition entries
• Manage and advocate for internal case study development, partnering with other team members
• Develop assets for the website version of the case study and lead its launch
• Work collaboratively with agency teams to develop proposals and RFI/RFP responses
• Assist in lead content development and production
• Review and compile NDAs, proposals, Scopes of Work and MSA agreements

Additional Responsibilities
• Highly organized with strong project management, writing/editing and online research skills 
• High proficiency with presentation software, including PowerPoint and Keynote
• Ability to collaborate closely with other team members as well as make independent decisions with discretion
• Ability to work under tight deadlines and rush schedules 
• Ability to attack and address each assignment with a positive “whatever it takes” attitude

Qualifications
• Four-year degree in marketing or communications preferred
• At least three years of related experience in marketing communications or a related field
• Business development experience is a plus, but is not required
